How do I reserve a hall?

Submit a reservation request using the form on our website. Our staff will confirm availability and respond with a contract and payment instructions.

Is my event confirmed once I submit the form?

No. Your event is only confirmed after we receive your signed contract and, for parties, a deposit. For party reservations, if both the contract and deposit are not received within 7 days of your request, your event may be removed from the calendar.

When are final payments due?

  • Parties: Final payment is due 30 days before the event.
  • Meetings: Final payment is due 7 days before the event.

How do I check if a date is available?

View our availability calendar at the top of this page. If your desired date and time appear open, you may submit a request.

Do I need to pay a deposit?

  • Meetings: No deposit is required.
  • Parties: A $300 refundable deposit is required to secure the booking.

Can I cancel my reservation?

Yes. Cancellations made 30 or more days in advance may be eligible for a $250 deposit refund. Cancellations made less than 30 days before the event are not eligible for a refund.

What discounts do you offer?

Discounts are available for Foster Village residents, veterans, and active-duty service members (with valid ID). No discounts are offered for meetings.

Who do I contact with questions or concerns?

All customer communication goes to info@theovc.org. If you need to file a complaint or speak to management, please address your message to the Executive Director.

Do I need to clean up after my event?

Yes. Guests are responsible for basic cleanup, including sweeping, light mopping, and taking out trash. Cleaning supplies are provided onsite.

Is someone onsite during my event?

Yes. All party events have an assigned Event Monitor who opens, oversees, and closes the facility. Meetings do not include an Event Monitor unless pre-arranged.

What’s the difference between a meeting and a party reservation?

  • Meetings: Available Monday–Thursday (all day), Friday and Saturday until 2 PM, and Sunday until 12 PM.
  • Parties: Allowed Friday–Saturday from 2 PM–10 PM, and Sunday from 12 PM–8 PM.

How many tables and chairs are available?

Ballard Hall: 33 round tables, 39 rectangular tables, 270 chairs
Sullivan Hall: 26 round tables, 40 rectangular tables, 280 chairs

You may choose between 6-foot round or 6-foot rectangular tables:

  • Round tables seat 4–6 people
  • Rectangular tables seat 6–8 people

What amenities are included with my rental?

Included: Tables & chairs, air conditioning, free parking, WiFi, audio/visual access, and basic kitchen amenities (varies by hall).

Available for additional cost: 85” Smart TV, projector, BBQ area & equipment, full kitchen (requires additional contract).

Can I serve alcohol at my event?

Yes, alcohol is allowed at private events. It may be consumed indoors or in the outdoor lanai areas.

There are no special permits required, but the assigned Event Monitor has the authority to check guest IDs and remove anyone who appears overly intoxicated or poses a risk to others.

The event organizer (the individual who signed the rental contract) is responsible for the conduct and safety of all guests, including ensuring that sober drivers are available when needed.

Do I need to hire the Hawaii Police Department if I serve alcohol?

No. You are not required to hire HPD officers for your event. The assigned Event Monitor handles supervision of alcohol use and guest conduct during the event.
